Creating and Assigning QR Codes for Users and Items

Objective

This SOP outlines the steps to create new users and assign them QR codes for time and attendance tracking, as well as assigning QR codes to issuable items using the Skytouch kiosks.

Key Steps

 

Step 1: Create a New User 0:31

  • Navigate to the main screen of the SkyVisitor website.

  • Click on System User.

  • Select Create User.

  • Enter the user's name (e.g., Alex Lovett) and press Enter.

  • Fill in the user details:

    • Company: Type and select from the drop-down (e.g., SafeNet Solutions).

    • Visitor Type: Select Staff.

    • Email: Add the user's email by pressing the green plus button and typing it in.

  • Click Save to create the user.

 

Step 2: Create a Long Visit for the User 1:35

  • From the main screen, navigate to Create Pre-Booking.

  • Add the host (e.g., Staff QR).

  • Add the visitor by typing their name and selecting from the drop-down.

  • Change the visit category if necessary (e.g., Staff QR Code).

  • Update the visit description to indicate it's a long-term staff QR visit.

  • Set the visit duration to at least one year (e.g., until May 31, 2026).

  • Click Confirm to create the long visit.

 

Step 3: Assign a QR Code to the User 3:11

  • Go to System Admin and then Locations.

  • Navigate to Ishmaelite.

  • Select the category for staff QR stickers.

  • Identify the QR code to assign (e.g., QR code 0001).

  • Rename the item to include the user's name (e.g., Alex Lovett - 0001).

  • Click Save.

 

Step 4: Issue the QR Code to the User 4:05

  • Open the book application and refresh if necessary.

  • Select the user and click Check-In and Issue Item.

  • In the pop-up, type the user's name (e.g., Alex Lovett) to populate.

  • Confirm the reserve dates are correct (from today until May 31, 2026).

  • Click Issue All to assign the QR code.

 

Step 5: Assign QR Codes to Issuable Items 5:45

  • Navigate to System Admin and then Locations.

  • Go to Ishmael Items and select the appropriate category (e.g., General Items).

  • Rename the item (e.g., Radio 1 - 0004) to reflect the physical item.

  • Ensure the returnable item option is ticked for items that can be returned.

  • Click Save.

Cautionary Notes

  • Ensure to select from the drop-down menus to avoid creating duplicate users or companies.

  • Staff QR codes are one-time use; do not attempt to reassign them to different users.

Tips for Efficiency

  • Regularly check the list of available QR codes to streamline the assignment process.

  • Keep a record of assigned QR codes to users for easy reference.
